APPENDIX 3

GUIDELINES FOR ORGANISING ISPRS WORKSHOPS

Vers. 20.03.2008

1. Approval and announcement

1.1. WG Chairs should consult the ISPRS Events Calendar to identify other meetings/conferences with which they can conveniently coordinate dates and locations. All meeting/conference organizers are encouraged to co-locate ISPRS Sponsored or Co-Sponsored meetings which are on the same or similar topics. If this coordination is not feasible and a proposed meeting topic clashes and is scheduled within four months of another approved meeting, then special approval may be granted by the Secretary General with the agreement of the affected TCPs.
1.2. The procedure for approval of meetings is as follows:
1.3. Working group chairs review The Events Calendar and consult with their TCP on the topic and date of a meeting.
1.4. TCP sends the Secretary General details which include proposed dates, topic, location, convenor with contact details and names of co-sponsors.
1.5. If the meeting is approved, the Secretary General will give formal approval to the TCP and copy this to the Calendar Editor, "Prof. Chen" (profchen@ms13.hinet.net). If full details cannot be provided initially, they should be sent to the Calendar Editor as soon as they are available.
1.6. Each WG is entitled to two one-half page entries per year in ISPRS Highlights, comprising such items as summaries of the WG newsletter, announcements of meetings, calls for papers, etc. The text for these entries must be prepared by the WG and submitted to the Editor-in-Chief of ISPRS Highlights.

2. Publication

2.1. Workshop convenors may opt to publish proceedings in one of the following ways;
  1. As a volume in the International Archives of the Photogrammetry, Remote Sensing and Spatial Information Sciences. This may be as peer reviewed papers or not.
  2. As a volume in the ISPRS Book Series, for which the papers must be peer reviewed.
  3. As a one off stand alone volume on paper or electronic media.
2.2. WG Chairs who request to publish proceedings of their meetings (Workshops, Conferences, Tutorials) as a volume of The International Archives of the Photogrammetry, Remote Sensing and Spatial Information Sciences must follow the "Guidelines for Publication and Review of The International Archives of the Photogrammetry, Remote Sensing and Spatial Information Sciences" in Appendix 4. The volume number will be determined by the Secretary General.
2.3. Publications in the Book Series must follow the guidelines in Appendix 8.

3. Reports

A summary report about the significant events, recommendations and conclusions of all ISPRS Sponsored meetings must be prepared for publication and submitted to the Editor of ISPRS Highlights. Guidelines for preparation of reports are given in Appendix 9.

4. Presentation

A “Manual for Presentation of Technical Papers at ISPRS Congresses and Symposia” is given in Appendix 6, and should be sent to all presenters of papers well in advance of the meeting.
